What to prepare six months before your ServiceNow renewal
Renewal talks go better when you arrive with your own numbers. Six months out is early enough to act on what you find.
Know what you own
List every product and entitlement in your contract. Note the ones you bought but never rolled out.
Export real usage
Export active users by role and their activity over the last 12 months. Group them by department so you can see where demand is growing or shrinking.
List planned changes
Note projects that will add or remove users in the next year, such as new teams, mergers or retired processes. These change what you should buy.
Decide what to drop or add
With facts in hand, you can choose what to reduce instead of accepting a bigger bundle. Write down your target and your walk-away point before the first call.
Keep the evidence
Keep the exports and your reasoning in one folder. If a number is challenged, you can show where it came from. The License Optimization accelerator builds this evidence pack for you.
